Terms of Service

1. Agreement
These Terms of Service ("Terms") are a binding agreement between you and SignPilot ("SignPilot," "we," "us"), the operator of the SignPilot website at signpilotme.com and the SignPilot mobile applications (together, the "Service"). By creating an account, subscribing, or using the Service, you accept these Terms and our Privacy Policy. If you use the Service on behalf of a business, you represent that you have authority to bind that business.
2. What SignPilot is — and is not
SignPilot is business-management software for mobile notaries, notary signing agents, and related businesses. It organizes orders, appointments, documents, journal records, invoices, payments, and communications.
SignPilot is not:
- A law firm, and it does not provide legal advice;
- A substitute for your state's notary laws, handbook, or commissioning authority;
- A party to any notarization, closing, or transaction you perform;
- A guarantee of compliance, accuracy, or completeness of any document or record.
The Service never selects notarial acts, never advises which certificate to use, and never interprets the legal effect of a document. You are solely responsible for performing your duties lawfully and for your professional decisions.
3. AI features and estimates
Parts of the Service use artificial intelligence to extract order details from emails, screenshots, and PDFs; to organize document packages; to flag potential signature, initial, date, witness, and notarization locations; to score order completeness; and to answer questions about your own records.
- All AI output is an estimate and is labeled as such. It may be incomplete or wrong.
- AI-extracted information is presented for your review before it changes critical order details.
- You must independently verify every flagged item against the actual documents and your hiring party's instructions.
- We are not responsible for losses caused by relying on AI output without review.
- Your documents and records are not used to train public AI models.
4. Accounts and eligibility
- You must be at least 18 and able to form a binding contract.
- You are responsible for your credentials and for all activity on your account. Keep your password secure and enable available protections.
- Information you provide must be accurate and kept current, including your commission, insurance, and contact details.
- Team and agency accounts may grant role-based access to additional users; the account owner is responsible for their users' compliance with these Terms.
5. Subscriptions, billing, and renewals
- Paid plans (Starter, Professional, Elite, Teams) bill monthly or annually, in advance, through our payment processor (Stripe). We do not store your full card number.
- Subscriptions renew automatically until canceled. You can cancel anytime from Settings → Billing; cancellation takes effect at the end of the current billing period, and you keep access until then.
- Plan limits (orders, AI-processed pages, fax pages, SMS, storage) apply per billing cycle. Add-on bundles are one-time purchases consumed on use and are billed separately.
- Prices may change with at least 30 days' notice; changes apply at your next renewal. Third-party usage costs (fax, SMS) may change sooner where our providers change theirs.
- Taxes are added where required by law.
- If a renewal payment fails, we may retry, downgrade, or suspend paid features after notice.
6. Founding-member pricing
- Founding Professional and Founding Elite rates are limited to the first 250 and 100 continuously active subscribers, respectively.
- The founding rate applies for as long as the subscription remains continuously active. If it lapses or is canceled, the rate is lost and current pricing applies on re-subscription.
- Usage limits of the corresponding plan still apply; add-ons are billed separately.
- Abuse, resale, or account sharing voids founding pricing.
7. Refunds
- You can try SignPilot free before subscribing, so paid periods are generally non-refundable.
- If something went wrong — duplicate charge, billing error, or the Service materially failed to work — contact support@signpilotme.com within 30 days of the charge and we will make it right, including refunds where appropriate.
- Consumed usage (AI pages, fax pages, SMS) and expired founding eligibility are not refundable.
- Nothing in this section limits rights you have under applicable consumer-protection law.
8. Your content and records
- You own your data. Orders, documents, journal entries, invoices, and notes you store remain yours. You grant us a limited license to host and process them solely to operate the Service for you.
- You can export your records and delete your account at any time from Settings.
- You are responsible for having the right to upload the content you store — including borrower documents — and for handling it consistently with your obligations to hiring parties and signers.
- Journal features support your record-keeping; you remain responsible for meeting your state's journal requirements, retention periods, and privacy rules.
9. Acceptable use
You agree not to:
- Use the Service for anything unlawful, deceptive, or infringing;
- Upload malware or attempt to probe, overload, or breach the Service;
- Access another user's data without authorization;
- Send spam or unlawful communications (including fax and SMS) through the Service — you are responsible for having consent to contact your recipients;
- Resell, sublicense, or white-label the Service without a written agreement;
- Use automated means to scrape the Service or circumvent usage limits.
We may suspend or terminate accounts that violate these Terms, with notice where practicable.
10. Communications features
The Service can prepare and, with your authorization, send messages (email, SMS, fax) to your contacts and signers. You control approval settings; messages sent automatically are sent under standing instructions you configured. You are the sender of record and responsible for the content and lawfulness of your communications.
11. Third-party services
The Service integrates with third parties (payment processing, email/SMS/fax delivery, maps, cloud infrastructure, AI providers). Their availability is outside our control, and their terms may apply to those features. We are not responsible for third-party platforms you connect (signing services, title companies, calendars), and universal import does not imply affiliation with or endorsement by any company whose emails or documents you import.
12. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR THAT AI FEATURES WILL IDENTIFY EVERY REQUIRED SIGNATURE, DATE, INITIAL, OR CERTIFICATE.
13. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW: (a) WE ARE NOT LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, LOST FEES, LOST DATA, OR PROFESSIONAL DISCIPLINE; AND (b) OUR TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE IS LIMITED TO THE AMOUNTS YOU PAID US IN THE 12 MONTHS BEFORE THE CLAIM. SOME JURISDICTIONS DO NOT ALLOW CERTAIN LIMITATIONS, SO PARTS OF THIS SECTION MAY NOT APPLY TO YOU.
14. Indemnity
You will defend and hold us harmless from claims arising out of your notarizations and professional services, your content, your communications sent through the Service, or your violation of these Terms or applicable law.
15. Termination
- You may stop using the Service and delete your account at any time.
- We may suspend or terminate for material breach, unlawful use, non-payment, or risk to the Service or other users — with notice where practicable.
- After termination you can request an export of your data for 30 days, after which it is deleted per our retention schedule (see the Privacy Policy). Sections that by their nature survive (8, 12–14, 16) survive termination.
16. Governing law and disputes
These Terms are governed by the laws of the State of Georgia, USA, without regard to conflict-of-law rules. Before filing any claim, you agree to contact us at support@signpilotme.com and give us 30 days to resolve the issue informally. Courts located in Georgia have exclusive jurisdiction over disputes not resolved informally, and each party waives any right to a jury trial to the extent permitted by law.
17. Changes to these Terms
We may update these Terms as the Service evolves. For material changes we will notify you (email or in-app) at least 14 days before they take effect. Continued use after the effective date constitutes acceptance.
